Working with third parties offers clear benefits: access to specialised expertise not available in-house, and often more economical product development or support. However, managing outsourced product and software delivery demands a distinct approach. Drawing from NPC's extensive experience, here are our top tips for maximising your collaborative success with suppliers.


Shared Vision, Shared Standards

Be clear on the deliverables. You're the expert of your business and customers; guide them to the desired outcomes. Ensure all deliverables are mutually agreed upon alongside critical deadlines and milestones.


Regularly review and agree on your product roadmap – changes are inevitable, so maintain open dialogue to prevent surprises or misunderstandings.


Ensure your supplier understands your organisation's governance and technology standards. Developing code is only part of the picture; robust testing and repeatable, safe delivery processes are crucial.


Active Engagement: Your Role in Their Process

Understand your supplier's development and delivery process. You don't need to be an expert, but knowing their 'how' and 'why' reduces confusion and aids progress communication.


Regular show & tells/demos are invaluable; not only do they offer insights into product evolution, but they're also a great opportunity to celebrate progress.


Encourage frequent, small releases, and be prepared for inevitable setbacks – they're part of the agile process.


The Human Element: Cultivating Strong Supplier Relationships

With increasing remote and hybrid work, strong communication is paramount, especially when you may never meet face-to-face. Establish clear primary points of contact for both your organization and the supplier.


Regular communication is essential; utilise mutual messaging systems (e.g., Slack), but don't let them replace regular catch-ups.


Beyond your supplier's internal ways of working (WoW), establish a joint WoW for your collaboration.


Be mindful of cultural differences, where 'no' or 'I don't know' might be challenging to express. Building trust and active involvement mitigates last-minute issues.
